What is a certificate of insurance?
A certificate of insurance, or COI, summarizes the active policies issued to your production company. It helps the rental team verify the named insured, policy dates, limits and relevant coverage before equipment is released.
What should your COI include?
- The legal name of the renter or production company
- Policy dates covering the complete rental period
- General liability and rented-equipment coverage when required
- Limits appropriate to the replacement value of the order
- The rental company’s approved legal entity and address as certificate holder or additional insured when requested
Common reasons a COI is delayed
Frequent issues include expired policy dates, a company name that does not match the rental request, insufficient rented-equipment limits, missing endorsements or coverage that ends before the return date.
Prepare before submitting your Gear List
- Use the same legal company name throughout the request and COI
- Include pickup through return in the policy dates
- Estimate the full replacement value of the complete package
- Ask your broker to allow time for corrections
Insurance is one part of rental approval
Availability, renter verification, the rental agreement, payment and any security-deposit requirement may also need to be completed before equipment is reserved or released. A Gear List submission is a rental request, not an automatic reservation.
